A join code lets people sign themselves up at an event. You put the code on the screen. People scan it, or type it in, and then give their name and email address. Go to Organisation, then select Programmes. Select the programme you are running. Find the Join code panel. This programme already has a code. The panel shows the date the code works until. This demo code also has a limit of 200 people. Codes you create have no limit. Select Copy code to copy the code, or Copy link to copy a join link for an email or a chat. Select Download slide to make a slide ready to use. The slide uses your organisation’s colour and logo. This demo organisation has no logo, so the slide shows its name instead. It also shows the code, the join address and a QR code. The QR code is blurred in this video, because it is a live code. Select Save the slide to keep the picture. Show QR gives you the QR code on its own. Select Download for a slide to use it in your own slides. Tell the room to scan the code, or to type it in at the join address on the panel. The four numbers show whether people are getting through. Scanned counts arrivals. Gave an email counts people who filled in the form. Email sent counts the people we sent a link to. Joined counts people who opened their link. Read the amber box before the event. If only one or two people in your organisation who have taken an assessment are left outside this programme, its results stay hidden. Either include them too, or leave at least three people out. Open the first round before people start their assessments. Answers given before the round opens do not count. The line under the code says whether people who scan now are measured. To stop a code early, first note the four numbers, because they disappear once the code is off. Then select Turn this code off, and you can make a new one. A programme with no code shows a Create a join code button, unless it is complete or cancelled. Select it to make one. Once a programme is complete or cancelled, you cannot make a code for it. You will find the full guide, with pictures, in the Verve Lead help guides.
Narration is AI-generated. Every screen is from our demo environment – an invented organisation and people.
A join code lets people sign themselves up at an event. You put the code on the screen. Each person scans it with their phone or types it in. Then they give their name and email address, and open the link we send them.
There is nothing for you to type in for each person, and they do not need an account or a password beforehand.
Every join code belongs to a programme, so set up the programme and its group first. You manage codes in the web app.
How do I create a code?
- Go to Organisation, then Programmes, and select the programme.
- Find the Join code panel.
- Select Create a join code.
A programme has one working code at a time. The code is 8 letters and numbers in 2 groups of 4, such as H7PQ-3MRT.
You cannot create a code for a programme that is complete or cancelled.
How do I show it to the room?
You have 4 ways to share it:
| Option | What it gives you |
|---|---|
| Download slide | A ready-made widescreen slide with your organisation’s colour and logo, the programme’s name, a QR code, the code and the address to type. Select Save the slide (1920 × 1080 PNG) to keep it. |
| Show QR | The QR code on its own. Select Download for a slide to put it in your own slides. |
| Copy code | The code, to read out or write up. |
| Copy link | A join link, to paste into an email or a chat. |
The panel also tells you what to say: scan the code, or go to app.vervelead.com/join and enter the code. The pictures here come from our demonstration site, so they show demo.vervelead.com instead. For what people see after that, see joining a programme with a code.
The slide uses your organisation’s colour and logo from Settings. If your logo cannot be loaded, the slide shows your organisation’s name instead.
What do people join?
It depends on where the programme is up to when each person opens the link in their email – not when they scan.
| Where the programme is up to | What the person joins |
|---|---|
| Not started | Your organisation and the group. They are included when you open the first round, and get the invitation email then. |
| Before round open | Your organisation, the group and the programme. |
| Before round closed or Follow-up open | Your organisation and the group, but they are not measured. |
| Complete or Cancelled | Nothing. The code no longer works. |
The line under the code says which applies right now. Anyone new to your organisation joins as a member – a code can never give someone another role.
When someone opens their link, we take them straight to the assessment.
How long does a code last?
A code works until the end of the first round’s closing date. That is also when the first round stops counting answers. If the programme has no closing date, the code has no expiry.
Codes you create have no limit on how many people can join with them.
The panel shows Works until and a date, No expiry, or Expired and a date. If the code would not work right now – because it has expired or the programme is over – the panel says Not working.
To stop a code early, select Turn this code off. It stops straight away, and any slide or link with that code stops working. You can then create a new code, with different characters.
What do the numbers tell me?
The 4 numbers under the code help you see, while you are still in the room, whether people are getting through.
| Number | What it counts |
|---|---|
| scanned | Arrivals at the join page, by scanning the QR code or typing the code. Under it, how many came each way. |
| gave an email | People who filled in the form. |
| email sent | People we sent a link to. |
| joined | People who opened their link and joined. |
- If many have scanned but few gave an email, check that people can read the code from where they are sitting.
- If the panel says some emails could not be sent, ask those people to try again later.
- If it says some people were asked to wait, too many asked at once. Ask them to fill in the form again a little later. Nothing is lost.
- If many emails were sent but few have joined, ask people to check their spam or junk folder.
The numbers belong to the code. Once you turn a code off, its numbers no longer show on the page, so note them first.
