This video shows you how to assign a mentor to someone. You do this in the web app, as an organisation administrator. First, go to Organisation, then Members. This is the Manage Members page. Your team members are listed here. To find people with no mentor, open the list beside the search box. Choose Without a mentor, and only people with no mentor are listed. To find someone by name, type their name in the search box. We will look for Sophie. Sophie is a member. Her mentor is Ryan Mitchell. In the Mentor column, open the list beside her name. Choose the mentor you want. Here we choose Ruth Davies. Your choice is sent as soon as you pick a name. There is no save button. A notice at the top of the page tells you what happened. The notice begins with Mentor invitation sent. For a new mentor, we email Sophie, and she must accept before anything is linked. Until she accepts, the row still shows Ryan Mitchell, and the new mentor sees none of her check-ins or results. Sophie can accept from the email, or from her dashboard. If she declines, nothing is shared, and no link is made. To end a mentoring relationship, open the list again and choose No mentor. That takes effect straight away, and we do not email anyone. You have now seen how to assign a mentor.

Narration is AI-generated. Every screen is from our demo environment – an invented organisation and people.

A mentor walks alongside someone, and they need that person’s trust to do it well. So choosing a mentor for someone never links them straight away. We email the person and ask. The mentor sees nothing of their check-ins or results until they accept.

You do this in the web app, as an organisation administrator.

How do I choose a mentor?

  1. Go to Organisation, then Members.
  2. Find the person. Type their name in the search box, or choose Without a mentor in the list beside it.
  3. In the Mentor column, choose a mentor from their list.
  4. A notice at the top of the page tells you what happened.

Your choice is sent as soon as you pick a name. There is no separate save step.

Choose a mentor from the Mentor column.

To invite someone new with a mentor already proposed, see inviting people.

Who can I choose?

The names in the list depend on the person’s role.

If the person isYou can choose
a Member or Trainer of Mentorsanyone in your organisation who is an Intern Mentor, Mentor, Master Mentor, Mentor of Mentors or Admin
an Intern Mentora Mentor, Master Mentor or Mentor of Mentors, as their supervisor
a Mentor or Master Mentora Mentor of Mentors, as their supervisor
a Mentor of Mentors or Adminnobody – their list is greyed out

If your organisation has a confidant, they appear in the list for members and intern mentors too.

For an intern mentor, mentor or master mentor, the list starts with No supervisor rather than No mentor. The person you choose is their supervisor.

For a mentor, the Mentor column holds their supervisor.

A supervisor is proposed in the same way as a mentor. The mentor is asked, and the link starts only once they accept. The supervisor then sees that mentor’s own check-ins and results. A Mentor of Mentors also sees the mentees of the mentors they supervise. Supervising mentors explains more.

What happens after I choose?

We email the person. The email names their proposed mentor and has Accept and Decline buttons. They can also answer from their dashboard. Responding to a mentor request shows what they see.

Until they accept, their row still shows their current mentor, or No mentor. It changes once they accept.

The notice at the top of the page says what happened:

The notice beginsWhat it means
“Mentor invitation sent.”We emailed the person. They are linked once they accept.
“Linked.”The person accepted this mentor before and has not ended it, so they are linked again straight away. We do not ask them again.
“We’ve sent this member another invitation”A request to this mentor was already waiting. We sent a fresh email that says we asked before.
“An invitation went out to this member recently”We sent one less than an hour ago, so we did not send another. The notice says when you can try again.
“The invitation is recorded, but we could not email this member”The request is waiting, but the email did not go. Check their email address, then choose the same mentor again.
The notice after choosing a mentor.

What if they decline?

We share nothing and make no link. We do not email the mentor, but the request stops showing as waiting on their profile. The Audit log records the answer.

If the person adds a note when they decline, we keep it with their answer. We do not show it to you or to the mentor.

If you would like to ask again, talk with them first. Then choose the same mentor, and they get a new request.

How do I change or end a mentoring relationship?

  • To change mentor, choose the new mentor. The person is asked, as before. Their current mentor stays in place until they accept the new one. From then on, the earlier mentor can no longer see their check-ins or results.
  • To end it, choose No mentor, or No supervisor. This takes effect straight away, and we do not email anyone.
  • The person or their mentor can also end the relationship themselves, at any time.

If you end a relationship this way and later choose the same mentor again, they are linked straight away without being asked. That is because the person accepted them before. If the person or the mentor ended it themselves, choosing that mentor again sends a new request.

Removing someone from your organisation also ends their mentoring relationships in it. Managing members explains what else removal changes.

How do I know who has accepted?

Once someone accepts, their row shows their new mentor.

The Audit log tab records each mentor you choose. It also records each time someone accepts, declines or ends a mentoring relationship. You can filter it to Mentor assigned, Consent accepted, Consent declined or Consent revoked. The audit log explains more.
